Preventing Report Card Issues in Grado

Grado Subject, Class, and Report Card Generation Guide

Last semester, the Reedley Highschool Department experienced a number of issues upon the release of their report cards. To mitigate this, we’ve created this guide designed to help Reedley International School prevent issues during the grading and report card generation process by guiding proper subject setup, grade inputs, and class configurations in Grado.

1. Subject Setup

  • Subject is set to the correct term (e.g., Yearlong, Sem 1, or Sem 2)

  • Correct grade item count is set before class creation

  • Subject visibility is correct (e.g., "Hide on enrollment report" is used only when needed)

  • Proper MTs are created

  • Transmutation table is linked and complete

  • For Homeroom subjects, "homeroom" is input in the behavior code

  • Club subjects are tagged correctly (check "Is Club Subject" only for actual clubs)

  • Ensure deportment-related components like "Note Taking" are not left blank if expected

  • If the subject is a Behavior Subject, tick the checkbox then input the Behavior code. If not, leave it as is.

2. Subject and Class Creation

  • Subject setup (term, grade item count, transmutation) is finalized before creating the class

  • Class is linked to the correct subject and curriculum

  • Adviser is assigned to the class

  • Homeroom and deportment subjects are placed in correct year level and term

  • Classes are not reused for other subjects with different configurations

  • Recreate classes when changes are made to subject settings after creation

3. Grade Input

  • Grades are inputted under the correct fields

  • All MT components are filled up; no blanks

  • Recheck subject grade fields (e.g., "Note Taking", "Participation") for missed inputs

  • Make sure the user has access to the class/subject to encode grades

  • Ensure subject-level behavior grades are submitted properly

  • Ensure all grades have been encoded before generating the report cards

4. Report Card Generation

  • Report cards are regenerated after changes in grades, class, or subject settings

  • Sem 1-only subjects would not appear in Sem 2 reports

  • Work Immersion and special subjects should be hidden if not yet applicable

  • Validate correct pulling of back subjects and electives

  • Ensure correct parent-child subject linkage

  • Homeroom grades should reflect if properly configured

5. Common Errors to Watch Out For

Issue

Cause

Fix

Grades show as *, **, or blank

Wrong transmutation, INC grades, wrong input field

Fix transmu, correct input, or re-apply grades

Grades not appearing in report card

Wrong term, incorrect grade item count, class created before subject was updated

Update subject settings, recreate class, regenerate report

Deportment marks missing

Grades inputted in TM instead of MT, missing access

Re-input in the correct term.

Report card shows old data

Report not regenerated after updates

Re-generate report card

Subject not pulling

Term mismatch or class was not recreated after subject edit

Verify term and recreate class

Subjects appear unordered

Ordinality not set properly

Adjust subject ordinality

Homeroom or club subjects not showing

Subject type or settings misconfigured

Check behavior code, visibility, and correct tagging

SHS subject pulling as Sem 1 only

Setup not aligned to yearlong or sem schedule

Adjust subject term or recreate based on config

Always double-check entries before final generation to ensure smooth grading and report release.
