Using the Bulk Upload feature

This article provides general instructions on how to access and use the bulk upload feature of Grado for various school information.

Grado Bulk Upload Feature

The Grado Bulk Upload feature is a powerful tool that enables users to efficiently upload a large volume of basic student information in a single operation. Using this allows users to effortlessly import large amounts of data into the system, saving them valuable time and significantly improving their overall user experience.

Information that can be bulk uploaded

The following information can be bulk uploaded through the Bulk Upload feature. These information are divided into several sections:

  • Student
    • Student Information
    • Profile
    • Eligibility Status
  • Curricula
    • Degree Programs
    • Subjects
    • Grade Components
    • Sections
    • Faculties
    • Courses
    • Curriculums
    • Requirements
  • Fees
  • Buildings
    • Buildings
    • Rooms

Users can download a CSV template file for each information mentioned above, which can be opened using any program capable of reading CSV files. They can then populate the template with their specific data.

How to Access Grado Bulk Upload Page

In the side navigation pane, click the Setup icon image-1672814546504.PNG, then select and click Bulk Uploads. This will open the Bulk Uploads page:

Prerequisites of each data for bulk upload

Almost all data that can be uploaded in bulk has a prerequisite.

Information Prerequisite Data
Student Information Needs at least one degree program existing in the system.
Student Profile Needs student information to be in the system.
Eligibility Status Needs student information to be in the system.
Degree Programs Needs at least one existing department in the system (departments need to be manually created, see Adding and Modifying Departments).
Subjects Needs at least one existing transmutation matrix in the system (transmutation matrices need to be manually created, see Transmutation Matrices).
Sections Needs at least one degree program and at least one Course/Class existing in the system.
Faculties Needs at least one existing department and division in the system (departments and divisions need to be manually created, see Adding and Modifying Departments and Adding and Modifying Divisions).
Courses Needs at least one subject existing in the system.
Curriculums Needs at least one degree program existing in the system.
Requirements Needs at least one degree program and at least one subject existing in the system.
Fees Doesn't have prerequisites.
Buildings Doesn't have prerequisites.
Rooms Needs at least one building existing in the system.
Grade Components Needs at least one subject existing in the system

General instructions on bulk uploading information

1. For each uploadable school information, you can find details including descriptions, prerequisites, and the fields required to download the template and upload the corresponding CSV file. Refer to the screenshot below:

Download the CSV template for the respective information (if you haven't done so yet) by clicking the Download Template link.

2. Open the CSV file using a spreadsheet program (such as Excel or Google Sheets).

3. Populate the CSV file. Description of required values can be found in separate articles dedicated to each information that can be bulk uploaded.

4. Once done, in the Bulk Uploads page, click Choose file and select the now populated CSV file.

5. Click Upload. A notification will be displayed indicating that upload is in progress, as well as the link to the progress page of what is currently being uploaded.

Accessing History of Bulk Uploads

To access the history of past bulk upload attempts, along with the status of each attempt and detailed error information, simply click on the "History" link located within the "Bulk Uploads" page:

This action will open the dedicated "Bulk Uploads History" page:

For each upload attempt, you can click the Details link to view the status of each data uploaded, along with details of any error encountered if any:
